Article 1 (Definition of Terms)
1. "Exhibitor" refers to a company, association, organization, or individual that has submitted a participation application for this exhibition.
2. "Exhibition" refers to the "2025 Advanced Defense Industry Exhibition."
3. "Organizer" refers to Daejeon Metropolitan City and the Army Education & Training Command, while "Host" refers to the Daejeon Tourism Organization.
Article 2 (Participation Application)
1. Those who wish to apply for participation in the exhibition must complete the designated application form and submit it to the Host.
2. The submission of the participation application form constitutes an agreement to these regulations. However, if the exhibition space is fully booked or the submitted exhibits are deemed unsuitable for the exhibition, the Host may reject the application.
3. If any changes occur in the details of the submitted application form or other submitted documents, the exhibitor must notify the Host immediately. The exhibitor shall be responsible for any disadvantages resulting from failure to notify.
Article 3 (Booth Location Assignment)
1. The Host shall assign booth locations based on the nature of the exhibits, requested exhibition space, exhibitor’s location, participation history, and other reasonable criteria. Exhibitors may not raise objections.
2. If deemed necessary for overall space balance, visitor efficiency, and exhibition effectiveness, the Host may change the assigned booth location.
Article 4 (Exhibition Hall Management)
1. Exhibitors must display the exhibits specified in their application and ensure proper booth management with assigned personnel.
2. If an exhibitor displays items different from those specified in the application, exhibits unsuitable for the exhibition, or engages in unauthorized direct sales, the Host may order an immediate halt, removal, or withdrawal. In such cases, participation fees will not be refunded, and exhibitors cannot claim compensation.
3. The Host may restrict access to the exhibition hall for specific individuals if necessary.
4. Exhibitors may not transfer, resell, or exchange their assigned exhibition space, in whole or in part, without written consent from the Host.
5. Exhibitors may not alter the exhibition hall’s floor, ceiling, columns, or walls using paint, adhesives, or other materials. Any damages caused must be compensated according to the Host’s restoration requests.
6. The Host reserves the right to selectively exclude or restrict exhibits and exhibition activities to maintain order, ensure safety, and prevent social controversy.
7. Exhibitors must manage their exhibits without causing inconvenience to other exhibitors or visitors. If issues arise, the Host may order the suspension of the exhibition.
Article 5 (Payment of Participation Fees)
1. Exhibitors must pay the full participation fee at the time of submitting the application. The payment deadline is May 14, 2025.
2. If an exhibitor fails to make the payment within the designated period, the Host may terminate the participation agreement.
3. If exhibitors fail to pay additional costs such as technical support fees, the Host may withhold participation or take possession of their exhibits until full payment is made.
Article 6 (Installation and Dismantling)
Installation and dismantling must be completed within the period specified by the Host. Exhibitors shall compensate for any delays or damages to the exhibition hall.
Article 7 (Providing Information to the Organizer)
Exhibitors must provide the Host with necessary materials regarding exhibits and booth structures to ensure compliance with regulations and facilitate promotional activities.
Article 8 (Insurance, Security, and Safety)
Exhibitors may insure their equipment and exhibits for the exhibition period, including installation and dismantling periods. While the Host will take appropriate security measures to protect exhibitors and visitors, ultimate responsibility for all exhibits rests with the exhibitor. All stand materials must be fire-resistant in accordance with fire and safety regulations, and the Host reserves the right to restrict construction and demonstrations if necessary.
Article 9 (Prohibition of On-Site Sales)
The purpose of the exhibition is to showcase related equipment and services to visitors. Exhibitors are not allowed to conduct on-site sales. However, sales activities may be permitted in specially designated areas within the exhibition hall, as determined by the Host. In such cases, exhibitors shall bear responsibility for all related taxes and obligations.
Article 10 (Cancellation or Modification of Participation)
1. If an exhibitor wishes to cancel part or all of their reserved exhibition space, they must notify the Host in writing immediately.
2. Cancellation fees apply based on the notification date:
- From 60 to 30 days before the exhibition: 50% of the total participation fee
- From 30 days before the exhibition to the event date: 100% of the total participation fee
3. Non-refundable participation fees cannot be carried over to future exhibitions.
4. If the Organizer cancels the exhibition, all participation fees paid will be refunded to exhibitors. However, if the cancellation is due to force majeure, such as a national crisis or natural disaster, or other exceptional circumstances beyond the Organizer’s control, no refunds will be provided. Exhibitors cannot claim compensation from the Organizer in such cases.
Article 11 (Exhibition Cancellation or Modification)
If the Organizer cancels or modifies the exhibition, the Host must notify exhibitors. Exhibitors cannot claim compensation for any costs incurred due to changes or cancellation.
Article 12 (Supplementary Regulations)
1. The Host may establish supplementary regulations if necessary.
2. Supplementary regulations become part of the participation agreement and must be adhered to by exhibitors.
3. All exhibitors must comply with the operational regulations of the Daejeon Convention Center.
Article 13 (Dispute Resolution)
Any disputes regarding the interpretation of these participation regulations, as well as other rights and obligations between the Organizer and the exhibitor, shall be resolved through arbitration by the Korean Commercial Arbitration Board. The arbitration decision shall be final, and no party may bring the case to court.
